NEOM Company is dedicated to safeguarding the personal information of every job applicant. Prior to embarking on the candidate journey, it’s very important that you carefully review this Notice. 

This Notice applies globally. It explains how we responsibly and lawfully collect and use your information, and how we protect your privacy. 

If you are applying for a position at a NEOM subsidiary or entity based outside the Kingdom of Saud Arabia, then the Notice also explains what information we gather about you as part of our talent management activities, how it is used, and shared, in accordance with local data protection obligations. NEOM Company offers the highest standards of data protection to everyone, no matter where you are in the world.

This Notice also sets out your rights in relation to your information and who you can contact for more information. It applies to any use of your personal data by us if you are a current, former or prospective job candidate at NEOM.

We have four documents that set out our key terms:

To establish and maintain our relationship with you, we will gather or acquire specific personal data about you.   • Contact details such as your name, phone number and e-mail address. 
  • Profile details like your date of birth, sex/gender, nationality, and religion. 
  • Recruitment information such as CVs, previous or current education, qualifications, your professional background, etc.
  • Career and job performance information such as job level/position, compensation & benefits information, details of skills and experience from the referrals provided. 
  • Social media data such as publicly available social media profiles as part of social media background checks.
  • Communication and correspondence records such as when we contact you with relevant updates about your application or invite you to interview. 
  • Background check information about judicial disputes and criminal records, passport and immigration status, any information related to potential conflicts of interest, or any other restrictions which may otherwise restrict or prevent a candidate’s employment. 
  • Psychometric test results such as information related to the assessment of cognitive abilities, personality traits, and job-related skills.
  • Interview performance evaluations such as a candidate's skills and experience aligned with the requirements of the roles.
  • Health data such as health status, and medical history for health and safety reasons.
  • Family data such as details about your spouse, children and other dependents.

Information you submit as part of your recruitment application must be true, accurate, complete and not misleading. Any false or misleading statements or omissions made by you during the application or recruitment process may be sufficient cause to justify the rejection of your application or, if you have already become an employee, the immediate termination of your employment, subject to due process. 

If you provide information about your family or any other third party to us as part of your application (e.g., emergency contacts or referees) then, before providing us with such information, you must inform the relevant individuals that you will disclose their personal data to us and provide a copy of the information in this Notice to them.

We are committed to keeping your personal data accurate and up to date. Therefore, if your personal data changes, please inform us of the change as soon as possible.

THE PURPOSES FOR PROCESSING YOUR PERSONAL DATA
 

We use your personal data for talent management and recruitment activities for the purposes described below:

  • Establish a connection with you and gain insights into your career interests.
  • Assessing your eligibility & suitability for employment and evaluate your compatibility for present and future positions at NEOM.
  • Generate a candidate profile for you in the NEOM system and match you to appropriate positions
  • Conducting psychometric assessments to evaluate suitability.
  • Communicating with you about the recruitment process, and providing you with meaningful updates.
  • Verifying personal information provided as part of your application by means including background screening and reference checks.
  • Collecting information required to complete the employee onboarding process.
  • To provide information to third parties who NEOM engages to assist with the candidate journey. 

In addition to the purposes connected to the operation of our business described above, we may also use your personal data collected via our website to:

  • Enhance and improve your experience when you use our website. 
  • Maintain our website and ensure that it is functioning effectively.
  • Customize the content on our website to offer you a tailored experience and highlight information that might be relevant to your interests.

SOCIAL MEDIA WIDGETS AND EXTERNAL LINKS
 

Our website may include links to social media platforms and as well as external links to other websites such as Eightfold or SAP SuccessFactors. These links may collect information about you by providing you with their services, setting cookies or employing other tracking technologies. Any information you disclose to third-party sites will be governed by their specific privacy policies and terms of service, rather than by this Privacy Notice.

LEGAL BASIS OF PROCESSING YOUR PERSONAL DATA
 

Any processing activity which satisfies one of the below conditions will be considered lawful according to the prevailing laws and regulations in the territory in which you are applying.

As a result, we use your personal information for the purposes outlined above because either:

  • Consent was provided by you (applicable in Saudi Arabia, United Kingdom, European Union)
  • The processing is pursuant to another law (applicable in Saudi Arabia, United Kingdom, European Union)
  • We’re implementing a previous agreement we have with you (applicable in Saudi Arabia)

WHO WE SHARE YOUR PERSONAL DATA WITH
 

Personal data is collected from information that you provide directly to NEOM. NEOM will also collect personal data indirectly from third parties, such as recruitment agencies that you used to apply to, background check providers and other vendors who support the candidate journey.

When it is necessary to perform one or more of the purposes outlined above, we may disclose your personal data to third party vendors who: 

  • Administer the candidate journey, for example to arrange travel or facilitate onboarding into NEOM.
  • Conduct psychometric assessments.
  • Conduct occupational health assessments. 
  • Maintain our database.
  • Verify the accuracy of the information you have provided to us as part of your recruitment application.

As required by applicable laws and regulations, your personal data may be disclosed to legal and regulatory authorities. For example, under a court order or where we cooperate with regulators or supervisory authorities in handling complaints or investigations. In any scenario, we’ll satisfy ourselves that we have a lawful basis on which to share the information and document our decision making. 

We may rely on third parties who provide elements of our recruitment activities on behalf of NEOM. We have contracts in place with our data processors. This means that they cannot do anything with your personal information without instruction from us. We share personal data only in compliance with applicable laws and regulations. If we share information with other organizations, we make sure any recipient organization has appropriate data protection safeguards and measures in place. Your personal data may be shared with NEOM-contracted vendors and others who are based outside the United Kingdom to ensure that we deliver our promises, offerings, and services to you. We'll always ensure that adequate safeguards are in place to maintain the highest levels of data protection standards.

STORAGE AND DESTRUCTION

Your personal data is only stored for as long as it is necessary to fulfil the purposes for which it was collected, according to defined retention periods, and for satisfying any legal, regulatory, accounting or reporting requirements.

If, however, you are successful in your application, your personal information will be retained for the purposes of creating an employee record.

If you are unsuccessful with your application, we may retain your details to assess your suitability for potential employment opportunities with NEOM in the future. If you would prefer that we do not retain your information for this purpose, and you wish to end the candidate journey, you may opt-out using the contact details provided below.

PROTECTION OF YOUR PERSONAL DATA
 

We use a range of physical, electronic, and organizational measures to ensure that we keep your personal data secure, accurate and up to date. These measures include: 

  • Awareness and training to relevant staff to ensure that they are aware of their privacy obligations when handling personal data.
  • Administrative and technical controls to restrict access to personal data on a ‘need to know' basis.
  • Technological security measures including fire walls, encryption, and anti-virus software.
  • Physical security measures, such as staff security passes to access our premises.

All NEOM employees accessing personal data must comply with the internal rules and processes in relation to the processing of personal data to protect data subjects and safeguard confidentiality.

YOUR DATA PRIVACY RIGHTS
 

Candidates can exercise privacy rights, under certain circumstances. These rights are not absolute, may vary from territory to territory, and are subject to qualifications.

  • Right to be informed: You have the right to be provided about how we use your personal data, and about your rights. 
  • Right of access: You have the right to access your personal data.
  • Right of request: You have the right to request a copy of your personal data in a readable and clear format.
  • Right to correction: You have the right to request the correction of your personal data.
  • Right to destruction: You have the right to request the destruction of your personal data.
  • Right to portability: You have the right to obtain and reuse your personal data for your own purposes across different services.
  • Automated decision-making: You have the right not to be subject to a decision based solely on automated processing.
